The Business of Exportation

ExportationAs you work in Bronto, a need may arise for you to have a file that contains your contacts outside of the application. This file can help with list reconciliation, synchronization with your in-house CRM software, or other administrative tasks. You can use all your contact data, including fields, list membership, last updated timestamps, and message format preferences to generate detailed reports.  The Export function in Bronto can help you easily create these reports.

Here is a demonstration on how you would export all of your inactive contacts in a Bronto account.

First, you will nead to click on the Contacts tab to get to the Contacts Dashboard.

export_linkNear the top right of the Contacts dashboard there is an Export link.  Click on this link and you will go to the Export page. Here is what the Export page looks like in Bronto.

The Export Page3 Choices for ExportationThere are three sections on this page that you need to be aware of.  The first is the status of the contacts that you are creating the report for. The three choices that you have are Active, Inactive and All.  In this demo we are choosing Inactive.  If you have a question concerning this terminology, please refer to our Brontoversity post – “What’s Your Contact’s Status?” for a complete description.

Below this you will find the “Choose Fields” section. In this section you can decide what field information you would like to export for each of the contacts in the report. Notice that there are links that will allow you to choose “Select All” or “Select None”  easily with one click. Choose the fields to Export In this demonstration we are choosing to include the information stored in Bronto for the first and last names of each contact.  It is important to remember that you should only export the field information that you need.  Excess information will only increase file size and may extend the time that you will have to wait for the report to generate.

Enter Email Address hereYour last option on this page is to request email notification that your report has been generated.  If you are exporting a large number of contacts, or fields, it may take the application a few minutes to generate your report.  If this is the case, enter your email address in the box provided and Bronto will send you a message to alert you that the report is ready upon completion.

Generate Export LinkOnce you have completed adding the criteria for your export, click the Generate link. Bronto will start the background process of creating your report. You will then receive a banner that informs you that the export process has started.  Once you receive this, banner you are free to work in other areas of Bronto as the report is compiled.

You Will Be Notified When Ready

Once you receive notification from Bronto that the report has been generated, you will be able to find it in the “Recent Reports” section in the lower right corner of the Home Dashboard.  The report will be in the form of a .CSV file that can be easily opened and edited in most spreadsheet applications.
